Hello! This is the bit where I explain, in plain English, what personal information I collect, why I need it, and what I do with it. No legal waffle if I can help it. If anything here doesn’t make sense, just ask me.

Who I am

What I collect and why

When you enquire. If you fill in my contact form or message me, I’ll get your names, email address, phone number, wedding date, venue and anything else you choose to tell me. I use this to reply to you, check my availability and send you a quote. The legal basis is taking steps at your request before entering into a contract.

When you book. To create your contract and plan your day, I’ll hold your contact details, address, payment records and the details from your pre-wedding questionnaire, like timings, locations and the names of family members for group photos. I need this to deliver the service you’ve booked (performance of a contract), and I keep financial records because the law requires it (legal obligation).

Your photos. I photograph you, your guests and your day, then deliver your images in a private online gallery. Taking and delivering your photos is what you’ve booked me for (performance of a contract).

Sharing your photos in my portfolio. I’d love to show off your wedding on my website, blog, social media and in award entries, but only with your permission, which I ask for when you book. You can change your mind at any time by letting me know, and I’ll stop using your photos in anything new.

Reviews. If you leave me a review on Google or send me lovely words, I may share them on my website alongside your first names and venue.

Who I share it with

I never sell your information. I only share it with the services and people I need to run my business, who are only allowed to use it to help me:

  • Studio Ninja, which I use to manage enquiries, quotes, contracts and invoices
  • Pic-Time, which hosts your online gallery and print shop
  • Google and Meta, for website analytics and adverts, only if you’ve accepted cookies
  • my website host, and the email and cloud storage services I use to run my business
  • a second photographer, if you’ve booked one for your wedding
  • my accountant, for tax and bookkeeping

Some of these companies store data outside the UK, for example in the USA. Where that happens, they use legal safeguards approved under UK data protection law to keep your information protected.

How long I keep it

  • If you enquire but don’t book, I delete your details within 12 months.
  • If you book, I keep your booking and payment records for six years after the end of the financial year your wedding falls in, because that’s how long the law says a company must keep its accounts.
  • I keep a backup of your wedding photos for three years after your gallery is delivered, so I can help if you ever lose your files. After that I may delete them, so please keep your own copies safe. If you’d like me to delete them sooner, just ask.

Your rights

Under UK data protection law you can ask me to:

  • give you a copy of the personal information I hold about you
  • correct anything that’s wrong
  • delete your information, where I don’t have to keep it by law
  • limit or stop how I use it, or object to me using it
  • send your information to you or another company in a usable format
  • stop using your photos in my portfolio, or withdraw any other consent you’ve given

Changes to this policy

If I change how I use your information, I’ll update this page and the date at the top.
